Migrating a Student Membership Platform for Modern Usability and Data Control - Professional Engineers of Ontario
The Challenge
A professional licensing body for engineers needed to replace an aging PHP/Oracle registration module for its student membership program. The legacy platform lacked security best practices, was challenging to update, and didn’t align with modern user expectations for account management or mobile responsiveness.
Key pain points included:
- Support registration with email validation and duplicate detection
- Automatically manage inactive users based on graduation timelines
- Provide admin control over university program lists and reporting
- Migrate 4,000+ student records from Oracle to SQL
No Email Validation
Lack of Automated User Management
Student Record Migration
The Solution
Konverge re-engineered the platform using ASP.NET and SQL Server, focusing on student experience and staff usability. The solution included:
- Front-end registration module: Secure registration form with validation, password recovery, and real-time email confirmations
- Admin interface: Easily update university programs, generate email lists, and run data reports
- Automated cron jobs: Tag inactive students based on expected graduation year, with scheduled checks three times annually
- Data migration: Migrated and validated 4,000 existing records from Oracle into the new database
Key Features:
- Secure student login with auto-generated IDs
- Role-based access for program staff
- Exportable reports and email generation
- Inactivity logic based on enrollment and graduation dates
- Clean, user-friendly web interface hosted in a secure environment
Secure Student Log-In
Export & Email Tools
Automated Mangement based on Time
Business Outcomes
- Increased data integrity and admin control
- Improved user experience and self-service options for students
- Enhanced operational efficiency and automated record management
- Scalable foundation for long-term program management
Why It Matters
Modern membership programs need more than a web form; they require automation, scalability, and transparency. This project is a strong example of how even small platforms can benefit from thoughtful modernization.
“Legacy systems often hide process complexity. We aim to simplify, automate, and make it future-ready, with full stakeholder visibility.”
